How to send a list we can quote without asking questions

Part numbers are fastest, but a photographed worksheet in Chinese works just as well. Here is what to include so the first reply is already a usable quotation.

How to send a list we can quote without asking questions

We quote a few hundred lists a month, and the ones that come back fastest all look the same. Here is what makes the difference.

Three ways to send a list, all fine

Part numbers. Every line in our catalogue carries a part number beginning with Y — for example Y9060304016. Paste them with quantities and you will get an exact match on the first pass.

Product names. Use the English name from the catalogue, or the Chinese name. Our list is maintained bilingually, so 维修家风枪R1 and "YCS air gun R1" find the same part.

A photograph. A picture of a handwritten or printed worksheet is often the fastest route. We read the list, map each line to a part number, and send the quotation back with the mapping shown so you can check it line by line.

What to add

  • Voltage and plug standard for any mains-powered machine, if you have a preference.
  • Quantities per line. If a line is below the minimum order, we will say so and suggest the packing that gets closest.
  • Destination city or port. It changes the freight line on the quotation, and occasionally the packing.
  • Whether you want a sample first. Instruments can ship as a single unit before you commit to a larger order.

What comes back

The reply lists unit price, minimum order, packing, lead time and the freight option per line. Stencils and consumables normally ship from stock; instruments are built and burn-in tested to order. If a part is discontinued we will name the replacement rather than leave the line blank.
